Overview

COVID-19 continues to impact businesses across the US, including major changes to their office space footprint. These changes include consolidating office space in premier locations and/or opening more satellite locations. This is the scenario that SmartAnalyst was facing. SmartAnalyst is a strategic consulting and analytics business working with biopharmaceutical companies across all major therapeutic areas. UDG Healthcare had recently acquired them, and they were taking the opportunity to consolidate their New York offices.

The Challenge

Any office move or consolidation is a significant project, and because of the COVID-19 pandemic, all SmartAnalyst employees were working remotely, and no one had been in the office for months. To top things off, there was a stockpile of electronic equipment that had accumulated over the last 15 years and a small data center that needed to be decommissioned. 

The challenge fell to CFO Heather Hill. She had one month to vacate their current office and leave it clean and empty, or the company would lose their $50,000 security deposit. And she had to ensure their electronics would be securely and legally recycled, complying with the highest standard in data erasure and destruction.

The Process and a Hidden Surprise

Working with a vendor like 4THBIN, who provided a detailed process plan, open communication, and a team dedicated to customer service, was essential to completing this project on time. The initial inquiry, onsite assessment, and office clean-out happened within two weeks. It appeared things were well in hand and on track with the office move.

BUT two days before the move-out date, the landlord did a walk-through and found an HVAC closet full of old equipment and ancillary things. Ms. Hill, unaware of this HVAC closet and its contents, placed an urgent call to 4THBIN. They were able to make an adjustment to their logistics schedule and dispatched a team the next day. Ms. Hill was able to deliver a clean and empty office space on time to the landlord.
